We are hiring a Chief of Staff to be a high-trust operational partner to the founder and Director of Operations of a fast-growing Australia-based anime-inspired jewelry and accessories brand. This role folds in executive support, customer experience oversight, and operations into one position built for someone who moves fast, thinks ahead, and gets things done without being told twice. About the Role
You will work directly with the founder and Director of Operations to extend their operational reach across day-to-day execution, hiring coordination, customer experience, and internal systems. This is a high-trust, high-visibility role that requires strong judgment, sharp communication, and the ability to context-switch between executive support and operational work without missing a beat.

What You'll Do
- Build and maintain automations across Zapier, Notion, Slack, and other tools to reduce manual work and keep operations running cleanly.
- Design and manage internal workflows for recurring processes like hiring coordination, onboarding, reporting, and team communications.
- Provide executive support across admin, coordination, follow-ups, and operational tasks on behalf of the founder and Director of Operations.
- Own the master hiring tracker and ensure all candidate data, shortlists, and pipeline updates are accurate and current.
- Coordinate across hiring and HR operations, including job post management, interview scheduling, candidate tracking, and follow-ups.
- Support or oversee customer experience operations, ensuring tickets, escalations, and CX workflows are handled and not falling behind.
- Create and maintain SOPs, internal documentation, and process guides the team can actually use.
- Identify bottlenecks and inefficiencies before leadership has to point them out.
- Prepare materials, track next steps, and drive follow-through on key priorities across the business.
- Stay responsive and available throughout the week, including weekends when needed, to handle urgent or time-sensitive issues.
Must-Haves
- Prior experience in a Chief of Staff, Executive Assistant, Operations Manager, or similar high-trust role supporting founders or executives.
- Strong hands-on experience with automation tools, specifically Zapier. Experience with Make (Integromat) is a plus.
- Strong Notion experience. You should be able to build a functional workspace from scratch without a tutorial.
- Experience managing or supporting recruiting operations, including ATS platforms like JazzHR.
- Experience supporting or managing customer experience operations in an e-commerce or DTC context.
- Clear, direct communication with the ability to represent leadership professionally in external and internal contexts.
- Ability to work independently and take full ownership of tasks without being micromanaged.
- Experience supporting remote e-commerce or DTC businesses.
- Comfortable with ambiguity. We build processes in real time and you will often be the one creating structure where none exists yet.
- Strong availability, reliability, and willingness to work a 7-day schedule with flexibility on how hours are distributed.
Nice-to-Haves
- Familiarity with tools like Miro, Loom, Slack workflows, or similar collaboration and process-mapping tools.
- Experience supporting hiring for fast-scaling teams across multiple roles simultaneously.
- Familiarity with CX tools like Gorgias or Zendesk.
- Background in e-commerce operations, DTC brands, or marketplace businesses.
- Interest in anime, gaming, or fandom culture. You will be working inside this world daily.
